Oak Creek Property Owners Association General Meeting May 22, 2021 11 a.m.

Attendees: Chris Dean, President: Marc Foreman, VP, Diane Hopkins-Broyles, Secretary, Chris and David Hedenberg, John Goff, Sandy Dean, Don Arnett, Mike Pearson, Maggie Pitt, Jackie Holladay

 

A.    Call to Order

Meeting was called to order at 11:03 by Chris Dean

1.      Approval of minutes

There was no general meeting in 2020 due to COVID pandemic. The June 1 and June 22 2019 minutes were approved by ballot in 2020.

2.      Additions to the agenda

No additions to the agenda

 

B.     Financial Report-May report was available to members

Total Current Assets: $104,108.81

·         Checking: $45,431.93

·         Saving: $58,676.88

The plan is to make another large payment on the loan. Last year an extra $25,000 was paid on loan in addition to monthly payments. The goal is to pay off the loan for the road in 7 years.

 

C.    Past Dues

Only 1 past due. Total is $4,000

 

D.    Election Board

1.      Date June 12, 11:00 am

2.      Election Committee

Will be appointed to count votes

3.      Willing to serve

President:

Secretary: Chris Hendenberg

The group was asked for any other nominations or volunteers

4.      Ballots should be brought to the meeting June 12. If unable to attend the ballots/proxy can be email or delivered to Diane, Rebecca or the email address. Ballots need to have signature and address

 

E.     Lawyer

Husch Blackwell is the new attorney that will be used. The firm is out of Springfield and deals with HOA/POA.

Rebecca Moody is the person authorized to contact the lawyer, POA members can not call attorney.

F.     Water and Sewer Report

1.      Water

The current water systems is not designed to support the subdivision if all lots have a house built on them. Capacity limit is 100,000 gallons.  In winter water usage is 24,000 gallons. In summer use 78,000 gallons.

Discussion occurred about need to acquire a lot by the water plant to allow expansion when necessary.

David Hedenberg made a motion to pursue obtaining lot by water plant, Jackie Holladay seconded the motion, all were in favor.

2.      DNR Cross Connection Prevention

If a property has an underground sprinkler system the system must have a Back flow Valve inspection yearly. This is a DNR requirement. The inspection document should be turned into Diane.

 

G.    Club House and Swimming Pool

Plan for pool to be open for Memorial Day

Request was made from a member to have metal junk on the side of the clubhouse be moved

H.    Volunteers

Thank you to all the volunteers who help to make the community great.

There are volunteer opportunities available to anyone who is interested

1.      Water/Sewer—walk lines when leak, daily water usage check

2.      Architectural Committee needs a third member. This committee reviews and makes recommendation to approve construction.  Please refer to bylaws for details of what needs to be reviewed/approved.

3.      Flower Garden- some to assist Rita Klumper

 

I.       Vandalism/Unlawful Use of private and community property

Have 2 signs to put up: Info about recycle bin and camera surveillance.

 

If trash bins are full, please take trash home and bring another day. Trash pickup has increased to 3x week

 

Must have picture of person’s face who is illegally using dumpsters, picture of truck is not enough

 

J.      Adjournment

Mike Pearson made a motion to end meeting at noon, David Hedenberg seconded the motion, all were in favor. Meeting ended at noon.
